Position Title: Executive Assistant

Reports To: CEO/President

Classification: Initially part-time (5 hours/day) with potential for full-time

Organization Overview:  Nemucore Medical Innovations, Inc. (NMI) is an early stage biomedical company with business offices in Wellesley MA and research and manufacturing facility in Worcester MA. NMI is dedicated to the development, manufacturing and marketing of proprietary nanomedicine products which improve drug delivery.

Job Summary: NMI seeks an articulate individual with excellent written and verbal communication skills and strong attention to detail to support the CEO/President, Vice President and other key executives as Executive Assistant. The ideal candidate will have the ability to prioritize tasks and manage multiple projects simultaneously. This includes the ability to handle confidential matters, data and information. The candidate should be comfortable dealing with a diverse set of people on the telephone, email and in person in a friendly, professional manner. The candidate should be highly energetic with a positive attitude. Professionalism, maturity and sound judgment are required to successfully manage the challenges of this position. A high level of proficiency is required in MS Applications such as Word, Excel, PowerPoint and Visio, to perform the varied duties of this position; Internet Explorer, Windows Explorer; basic HTML, database, light bookkeeping.  This individual must be MAC proficient as well.

Major Responsibilities:

  • Provide clerical and administrative support including word-processing, presentations, data management and analysis, scheduling, proof-reading, video/teleconferences, meeting minutes, travel arrangements, record keeping, expense-reporting, expense reconciliation, filing, copying and mailing.
  • Manage executive business schedules and calendars, including arranging meetings, conference calls and booking appointments.
  • Prepare agenda for weekly company call and record and distribute meeting minutes.
  • Monitor email, voicemail and other correspondence.
  • Maintain database for CEO/President, including entering new contacts, updating contacts, and running reports.
  • Assemble materials or reports for distribution.
  • Proofread typed or printed work and check records and reports for grammatical construction, completeness, clerical, arithmetical, and typing accuracy.
  • Type drafts and finished documents of a variety of material from written and verbal instructions, which may include letters, memoranda, notices, records, reports, and other material (may include some technical terminology).
  • Phone vendors to direct proposals around desired specifications.
  • Other duties as assigned.

Education: Bachelor's degree preferred
